What Is a Voice AI Agent?

A voice AI agent is a software system that handles phone calls using a combination of:

  • Speech-to-text (STT) — transcribes what the caller says in real time
  • Large language model (LLM) — processes the transcript and decides what to say
  • Text-to-speech (TTS) — converts the response to natural-sounding audio
  • Tool calls — optionally integrates with your CRM, calendar, or helpdesk

The result: a caller dials your number, has a natural conversation, and gets their question answered or appointment booked — without waiting for a human.

Latency has improved dramatically. Modern voice AI stacks achieve 600–900ms response time, which feels conversational rather than robotic.

When Voice AI Makes Sense

Voice AI works best for:

  • Inbound lead qualification — "What are you looking to achieve? What's your timeline? What's your budget?"
  • Appointment booking — integrate with Calendly/Cal.com, offer available slots, confirm
  • After-hours FAQs — "What are your prices?", "Where are you located?", "Do you offer X?"
  • Order status enquiries — query your database, read back the result
  • Support triage — gather details before routing to a human

Voice AI works poorly for complex troubleshooting requiring many turns, emotional or sensitive situations (complaints, cancellations), or tasks requiring visual context.

The Voice AI Stack (Pick Your Tier)

Tier 1: Fastest to Launch (Bland AI)

Bland AI is the lowest-friction option. You write a prompt, connect a phone number, and go live in under an hour. It handles STT, LLM, TTS, and telephony in one platform.

Best for: Testing the concept, simple FAQ bots, appointment reminder calls Pricing: ~$0.09/minute

Tier 2: Most Flexible (Vapi)

Vapi is the developer-friendly layer that connects your choice of STT (Deepgram), LLM (OpenAI, Anthropic, Groq), and TTS (ElevenLabs, PlayHT). You bring your own components.

Best for: Custom voices, specific model requirements, tool calling into your own APIs Pricing: ~$0.05/minute + component costs

Tier 3: Enterprise Quality (Retell AI)

Retell focuses on enterprise deployments with SLA guarantees, compliance features, and dedicated support.

Best for: High call volumes, regulated industries, custom integrations Pricing: Custom

Step-by-Step: Set Up a Voice AI Lead Qualifier with Vapi

Step 1: Create a Vapi Account

Sign up at vapi.ai. You get free testing minutes.

Step 2: Configure Your Assistant

In the Vapi dashboard, create a new assistant:

  • Name: FlareCross Intake
  • First message: "Hi, thanks for calling FlareCross. I'm the intake assistant — I'll gather a few quick details and make sure the right person gets back to you. Is now a good time?"
  • System prompt: You are an intake assistant for FlareCross, an automation consultancy. Your job is to qualify inbound enquiries by asking: (1) What business challenge they're trying to solve, (2) What tools they currently use, (3) Their rough timeline, (4) Team size. Be conversational and warm. Do not pitch or sell. When you have all four answers, confirm follow-up within one business day and end the call politely.

Step 3: Connect a Phone Number

In Vapi, purchase or port a phone number (or use Twilio). Assign the assistant to that number.

Step 4: Set Up the Post-Call Webhook

Configure Vapi to send a webhook after each call with the transcript and extracted data. Route this to n8n:

  1. n8n Webhook node receives the call summary
  2. OpenAI node extracts structured data from the transcript
  3. HubSpot node creates a contact + deal with the extracted data
  4. Slack node notifies your team with the call summary

Step 5: Test Before Going Live

Call your number 10 times with different scenarios: cooperative caller, vague caller, caller who wants a human, caller who dialled the wrong number. Refine your system prompt based on what breaks.

What to Tell Callers

Transparency builds trust. Have your agent introduce itself clearly:

"Hi, I'm an AI assistant for [Company]. I'll ask you a few quick questions and make sure the right person follows up — usually within [X] hours."

Most callers in 2026 are comfortable with this. Those who aren't will say so, and your agent should immediately offer to transfer or take a message.

Voice AI Pricing Reality Check

| Volume | Monthly cost (Vapi) | Annual cost | |--------|---------------------|-------------| | 100 min/month | ~£10 | ~£120 | | 500 min/month | ~£50 | ~£600 | | 2,000 min/month | ~£200 | ~£2,400 |

Compare this to an answering service at £150–£400/month for limited hours. Voice AI is available 24/7.
